The Site Administrative Assistant provides a wide range of high-level support to the Site Director. Work is performed under direct supervision.
Greet VIP/Executive guests to the site
Schedule and maintain calendar appointments.
Organize and schedule meetings to include preparation of meeting materials and arrangements for such meetings (video conference/audio conferencing, meeting rooms, catering requests, etc.).
Coordinate travel arrangements and prepare expense reports in a timely manner.
Answers telephones and accurately takes and relays messages, as requested.
Main contact for all site vendors and payments, Order and maintain office supplies
Special Events and Activities:
Working with Culture Champion, coordinating internal events, employee recognition, community service/volunteer opportunities as needed. For many events, this would include showing up prior to ensure everything is ready, provide adequate directions for team members, organization of accommodations for special dietary restrictions etc.
Associate’s degree preferred, or equivalent combination of education and experience in personal, executive, or business administration, customer service, especially in an office and front desk environment
Professional appearance and demeanor, self-motivated, proactive, with a fun personality
Experience in prioritizing work and managing expectations with senior leaders
Superior understanding of Microsoft Office suite, Google Docs, general bookkeeping, and willingness to learn new software as needed
Highly organized and flexible – able to adapt to a changing environment and handle multiple priorities
Strong verbal and written communication skills, will need to interact with multiple levels of management and leaders (both internally and externally)
Demonstrated experience in working in a team environment that believes in supporting other team members
Excellent follow-up skills
Constant work in a climate-controlled call center environment
Frequent use of a computer and other office related equipment
Constant repetitive use of hands and fingers
Must be able to lift, bend, climb, bend, stoop, reach, etc.
